You can request research data storage through the\u00a0<a href=\"\/rds\/apply\">Connect portal<\/a>\u00a0form. In order to help your request be dealt with as quickly as possible, we&#8217;ve put together some handy advice and guidance.<\/p>\n<h2>Requesting new shares<\/h2>\n<h3>Data Classification<\/h3>\n<p>The type of data you are storing determines whether RDS is the right platform. While research data can be stored in RDS, certain types require additional precautions, such as <strong>encryption<\/strong> when not in use. This applies to:<\/p>\n<ul>\n<li>Audio and video files that contain personally identifiable information<\/li>\n<li>Whole genome or biometric data<\/li>\n<li>Direct identifiable data (e.g., consent forms, contact details)<\/li>\n<li>Weakly pseudonymised data that carries a risk of re-identification through data linkage<\/li>\n<\/ul>\n<p>Anonymised data is generally acceptable for storage in RDS, but whole genome or biometric data requires further assessment by the Information Governance Office (IGO), and an Information Governance Risk Review (IGRR) will be required. If you\u2019re uncertain, don\u2019t hesitate to ask us for guidance.<\/p>\n<h3>Tips on how to encrypt files<\/h3>\n<p>Please see the <a href=\"https:\/\/connect.manchester.ac.uk\/esc?id=kb_article&amp;sysparm_article=KB0010837&amp;table=kb_knowledge&amp;searchTerm=file%20encryption\">IT Services file encryption advice<\/a>.<\/p>\n<p>As a reminder, audio and video files should be transcribed and anonymised <em>before<\/em> storing them in the RDS,<\/p>\n<h3>R-Codes<\/h3>\n<p>Researchers can receive up to 8TB of free storage for each RCODE, which applies to externally funded projects. However, R-Codes can only be used once and must be linked to the budget holder of the project. The business owner of the share should be the budget holder. Other code types, such as <code>P<\/code> and <code>AA<\/code>, cannot be used to set up\u00a0<strong>free<\/strong>\u00a0shares.<\/p>\n<h3>Unfunded Research<\/h3>\n<p>Recognising that early-career researchers may not have grants, RDS offers\u00a0<strong>8TB of free storage<\/strong>\u00a0for academics (lecturers and above) for conducting unfunded research.<\/p>\n<h3>Business Owners<\/h3>\n<p>Business owners are responsible for managing the data in their share, including adding\/removing users.<\/p>\n<p>Only permanent staff (lecturers, research fellows, and above) can act as business owners. Understanding that managing a share can be demanding, a backup business owner may be assigned to assist. However, postgraduate researchers (PGRs) and undergraduate (UG) students cannot be backup business owner.<\/p>\n<h3>Data Management Plan (DMP)<\/h3>\n<p>A DMP is required to ensure proper data handling and security. If you need assistance with creating your plan, the library provides support to help you develop a comprehensive DMP.<\/p>\n<p>Please see the <a href=\"https:\/\/www.library.manchester.ac.uk\/services\/research\/research-data-management\/\">RDM information<\/a> provided by the University Library&#8217;s Research Services.<\/p>\n<h2>Requesting access to existing shares<\/h2>\n<h3>Business Owners<\/h3>\n<p>Only Business Owners have the authority to grant or remove access to shares. If you need access but are not the Business Owner, you must either ask the Business Owner to submit a request on your behalf or to attach their written approval to a ticket.<\/p>\n<h3>Path Name<\/h3>\n<p>When requesting access to a specific share, be sure to clearly indicate the full path to the share you need. Simply naming the folder is not sufficient\u2014provide the complete directory path for accurate processing.<\/p>\n<h2>Getting help<\/h2>\n<p>We hope these tips make requesting Research Data Storage easier and more straightforward.
