{"id":14,"date":"2018-08-28T16:29:27","date_gmt":"2018-08-28T15:29:27","guid":{"rendered":"http:\/\/ri.itservices.manchester.ac.uk\/csf3\/?page_id=14"},"modified":"2026-01-16T10:56:42","modified_gmt":"2026-01-16T10:56:42","slug":"user-accounts","status":"publish","type":"page","link":"https:\/\/ri.itservices.manchester.ac.uk\/csf3\/getting-started\/user-accounts\/","title":{"rendered":"User Accounts"},"content":{"rendered":"<h2>Requesting an Account<\/h2>\n<p>Access can be provided to members (PIs, post-doctoral research staff and postgraduate students) of research groups, departments or schools that have contributed to the CSF, or, if no contribution has been made, on a <em>free at the point of use<\/em> basis(*).<\/p>\n<p>Undergraduate and PGT (Masters) students <em>may<\/em> be granted access, depending on a number of factors including who your supervisor is and which department\/faculty you are in.<\/p>\n<p>Check with your Supervisor or Principal Investigator (PI) whether they are a contributor or not, and then please fill in <a href=\"\/csf3\/overview\/help\/\">the HPC Request\/Help form<\/a>\u00a0supplying the following information:<\/p>\n<ul>\n<li>The name of the system you wish to access &#8211; in this case &#8220;CSF3&#8221;<\/li>\n<li>A brief description of why you want to use CSF3<\/li>\n<li>Your University IT Username (<em>not<\/em> password)<\/li>\n<li>The email address of your PI\/supervisor\/line manager (if your work spans multiple departments with more than one supervisor, please include them all.)\n<p>        We <em>do not<\/em> usually need to contact your supervisor, but it helps us to identify which area of storage and resources on the CSF your account will have access to.<\/li>\n<\/ul>\n<p>(*) There is some limited <em>free at the point of use<\/em> access if you are not part of a contributing group. The maximum job size is smaller for &#8220;f@pou&#8221; users.<\/p>\n<h2>Visitors\/Collaborators<\/h2>\n<p><strong>This information is for PIs \/ supervisors who will be hosting a visitor \/ collaborator in their group.<\/strong><\/p>\n<p>Vistors to, and collaborators with, contributing research groups can have access to the CSF <em>provided<\/em> they have been registered by the Principal Investigator\/an Academic Sponsor with the <a href=\"https:\/\/www.staffnet.manchester.ac.uk\/people\/\">&#8220;People Directorate&#8221; (previously &#8220;H.R.&#8221;)<\/a>, or Student Administration if appropriate, at the University of Manchester.<\/p>\n<p><strong>Step 1: Please contact your Faculty \/ School administration team to begin the process of registering your visitor\/collaborator with the <a href=\"https:\/\/www.staffnet.manchester.ac.uk\/people\/\">People Directorate<\/a>. Please note: the Research Infrastructure team\/IT Services <em>CANNOT<\/em> register your collaborator with the &#8220;People Directorate.&#8221; The <em>sponsoring academic<\/em> must do this through their school\/department.<\/strong><\/p>\n<p>Please start this process as soon as possible to ensure that everything is in place in plenty of time for when your collaborator\/visitor wishes to begin using the CSF.<\/p>\n<p><strong>Step 2: Please tell us your visitor&#8217;s UoM username. We, Research IT, DO NOT issue\/generate your visitor&#8217;s UoM username. This is done via the &#8220;People Directorate&#8221; process, and you or your visitor will be informed of the username nearer to their start date. We CANNOT create the CSF <em>account<\/em> until YOU can tell us your visitor\/collaborator&#8217;s UoM username!<\/strong><\/p>\n<p>Technically, the People Directorate and student administration systems feed into the IT Services admin systems. IT Services cannot simply &#8220;give you an account.&#8221; The process must be initiated by &#8220;People Directorate&#8221; systems.<\/p>\n<p><strong>Step 3: The visitor\/collaborator must complete the <a href=\"https:\/\/iam.manchester.ac.uk\/initial_login\/overview\">IT Sign Up<\/a>, where they agree to the University IT policies and set up their DUO two-factor authentication preferences.<\/strong><\/p>\n<p><strong>Step 4: Research IT will then setup the CSF account and send further details on how to access and use the system to your visitor. Research IT can only do step 4 once you and your visitor have done steps 1-3. Step 4 is usually a very quick process. Steps 1-3 may take you longer to complete. We politely remind PIs that we cannot simply &#8220;give your visitor a CSF account&#8221; without you having completed steps 1-3.<\/strong><\/p>\n<p>Access to some software on the CSF may not be possible, or extra conditions may apply, depending on the software license. All users of the CSF must adhere to software licenses.<\/p>\n<h2 id=\"accountext\">Extensions to CSF accounts<\/h2>\n<p>Your University IT username will automatically expire at the end of your course or contract. This cuts off your access to <em>all<\/em> IT Services systems, including the CSF.<\/p>\n<p>If you have a requirement to continue to access the CSF (and other IT systems) then your Principal Investigator\/supervisor must arrange <em>with their local administration team<\/em> to have your HR\/student record extended for an appropriate period of time. When that has been done, the IT user database will be updated automatically and you will be able to log in to the CSF (and other IT systems) up to that new end date.<\/p>\n<p>So, there is no such thing as a &#8220;CSF extension&#8221;. You must have the end date on your UoM IT account extended, and this will automatically make your CSF access work up to that new end date.<\/p>\n<p><strong>If you are a graduating student<\/strong>, you can find information about your general IT access (including files in your P-Drive, OneDrive and emails) after your leave date on the <a href=\"https:\/\/www.itservices.manchester.ac.uk\/students\/leaving\/\">Information for graduating students<\/a> webpage on the IT Services website. This page includes a list of &#8220;School Contacts.&#8221; Your first point of contact to arrange <em>any<\/em> IT access extension should be your School. Please note: that page says that your data will be deleted. That is true for things like P-Drive. <strong>But your CSF files will not be deleted<\/strong>. See below for more info.<\/p>\n<p><strong>Please note<\/strong> that Research Infrastructure\/IT Services <strong>cannot<\/strong> authorise an extension &#8211; it is a matter for your PI\/supervisor, department and H.R\/Student records.<\/p>\n<h2 id=\"accountend\">What happens to my CSF account and files at the end of my course \/ research?<\/h2>\n<p>CSF user accounts are <strong>not<\/strong> automatically deleted when your UoM IT account expires, although login to the CSF will <em>not<\/em> be possible.<\/p>\n<ul class=\"gaplist\">\n<li>Files in your CSF <em>home<\/em> area (or other <em>research data storage<\/em> areas that your group may have) are safe.<\/li>\n<li>Files in your CSF <em>scratch<\/em> area <em>will<\/em> be subject to the usual <a href=\"\/csf3\/filesystems\/scratch-cleanup\/\">scratch cleanup policy<\/a>. You should ensure you copy any valuable results (files) from <em>scratch<\/em> to RDS storage before you leave. So, for example, if you have just graduated but will be returning in September to begin a PhD, your CSF <em>home<\/em> and RDS files will still be there, but your <em>scratch<\/em> files might not be.<\/li>\n<li>For account extensions, see above (in short, if your IT account is extended, your CSF access will also continue to work. There is no such thing as just a &#8220;CSF account&#8221; extension.)<\/li>\n<\/ul>\n<p>We periodically archive old user accounts (compressing the files in to an archive file) and will contact the supervisor \/ PI of that user informing them that this has been done. Access to these old files by the supervisor \/ PI can be requested. This frees up disk-space in a supervisor&#8217;s group <em>home<\/em> storage area on the CSF for active users.<\/p>\n<p><strong>Please note:<\/strong> Research IT <em>cannot<\/em> help with P-Drive, email, Blackboard, OneDrive or laptop\/PC files &#8211; please contact the <a href=\"https:\/\/www.itservices.manchester.ac.uk\/help\/\">IT Service Desk<\/a> if you have any questions about those.<\/p>\n<h2>IT Policies and Regulations<\/h2>\n<p>All users must have completed <a href=\"https:\/\/iam.manchester.ac.uk\/initial_login\/overview\">IT Sign Up<\/a> to be granted an account on the CSF and follow <a href=\"http:\/\/www.itservices.manchester.ac.uk\/policy\/\">IT policies and regulations<\/a>.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Requesting an Account Access can be provided to members (PIs, post-doctoral research staff and postgraduate students) of research groups, departments or schools that have contributed to the CSF, or, if no contribution has been made, on a free at the point of use basis(*).
